Hidden Features: Gym Insight User Roles Streamline Employee Responsibilities. 

We’d like to introduce you to one of Gym Insight’s newest software features — User Roles. This enhancement includes seven standard employee positions each with its own staff permissions. From Front Desk employee to General Manager, User Roles provides a streamlined set of responsibilities that simplifies employee management and limits unauthorized access to your fitness club information.

It’s an addition that answers a simple question: Who has high-level control over your club? Now — with User Roles — you do, everyday.

Why Gym Insight added User Roles

We originally built User Roles in response to a request by one of our gym management software clients. This owner found employees increasingly perceived him as significantly wealthier than the average person. Why? Because every day they watched the very successful gym’s daily charges stream across their computer dashboards.

Of course, we know sales numbers do not equal year-end profits. Unfortunately, his front desk staff did not. Indeed, the tension grew to such a degree, he called customer service at Gym Insight and asked what we could do to solve his dilemma. 

That’s when our software team broke into action and developed User Roles in response. Now with this Gym Insight feature in place every employee role works within a designated set of permissions. 

How are user permissions expressed within Gym Insight?

For example, the preselected permissions for a front desk employee allow him or her to check-in guests and create new member accounts, but not to edit calendar events.  By contrast, general managers have nearly full run of Insight but cannot edit payment gateways or add or change other high-level information such as new locations or location names. Conveniently, as the owner,  you can also select and deselect permissions within roles according to your gym’s needs. 

Most importantly, User Roles establish a firm line of command: owners choose which reports to reveal to managers, general managers, and accountants.

  • Personal Trainer
  • Front Desk
  • Supervisor
  • Manager
  • General Manager
  • Owner
  • Accounting

For a busy growing gym, this feature shortcuts the matrix of choices an owner typically must endure to manage employee access.

We’ve even made deciding which role to assign a staff member easier by inserting a “Compare” option on the User Roles page.  Just click “Compare,” select two roles, and review their permissions side-by-side.  For a PDF list of roles and their combination of permissions, go to our Help page and search for “User Roles.”
